AskAven (a product of Aven Academy / Kartexa, "we", "us") is a free study tool for students and teachers, with paid plans available for schools and institutes. This policy explains what we collect, why, and the choices you have.
| What | When | Why |
|---|---|---|
| Name, email, password (hashed), role (student/teacher), institution name | When you register | To create and secure your account |
| A photo/scan of your student or teacher ID card | When you register | Solely to let an admin verify you're a genuine student or teacher before approving your account |
| Your chat messages and any voice recordings you send in a session | When you use chat or the voice agent | To generate a response via our AI provider; voice audio is transcribed and then discarded |
| Topics you build Knowledge Graphs for | When you use the Knowledge Graph tool | To generate and (temporarily) cache your graph |
| Basic technical data (IP-based approximate location, browser, pages visited) | Automatically, via our analytics cookie/localStorage | To understand usage and improve the product — see our Cookie Policy |
| Name, email/phone, institute name, and message | If you submit the "Book a Demo" / contact form | To follow up about paid/institutional plans |
Your uploaded ID card is stored in a private location that is never publicly accessible on the web. Only an admin, logged into the admin panel, can view it — and only to confirm you're a legitimate student or teacher before approving your account. We don't use ID card images for any other purpose, and we don't share them with anyone outside AskAven's admin team.
We use Groq as our AI provider to generate chat replies, transcribe voice input, and produce speech output. The text or audio you submit in a session is sent to Groq's API for that purpose. We don't share your name, email, password, or ID card with Groq or any other third party. We don't sell your personal data to advertisers or data brokers, ever.
Many of our users are school-age students. We only collect what's needed to run the account and verify eligibility (name, email, ID card image), and we never sell any user's data. If you are a parent or guardian and believe your child has an account and you'd like it reviewed or removed, contact us using the details below.
Passwords are stored hashed, never in plain text. ID card uploads are kept outside the publicly served part of the website and are gated behind admin login. We use standard web security practices, but no system is 100% secure — please use a strong, unique password.
You can ask us to access, correct, or delete your personal data (including your ID card image) at any time. Since AskAven is admin-managed rather than fully self-service, send your request via the contact details below and we'll action it directly.
AskAven uses a small number of cookies and browser-storage entries — see our full Cookie Policy for details and how to opt out of non-essential ones.
We may update this policy as AskAven grows. Meaningful changes will be reflected in the "Last updated" date above.
